Legal Procedures

  • The BIDEB projects expert shares the acceptance letter with the candidate via email. If the candidate is working in another institution, he/she should obtain both an assignment permit document from his/her current institution and a document from PI regarding the suitability of carrying out the project while he/she is working. These two documents must be sent to the BIDEB expert via email. After these documents are forwarded to BIDEB, the project expert sends the contract via email.
  • Firstly, after being signed by the candidate and PI, the contract is handed over and emailed to the KU Tubitak Project Coordinator (see contacts) who gets the signature of the Vice President for R&D.  Secondly, upon completion of all signatures, the candidate posts the signed contract to the address* indicated at the end of this guideline. Then you will receive the approved contract, which is signed by the President of Tubitak via email.
  • In the third step, the approved contract is emailed to the Coordinator for Graduate Schools who informs HR about an ID card and a Setcard. Meanwhile, Tubitak and Finance Assistant start to communicate. TUBITAK Projects Finance Assistant will contact you for the activation of the “Transfer Tracking System” (TTS), SAP system and Budget Transfer.
  • After all, as the cards are prepared, feedback is provided by HR. All processes and the preparation of the cards can take a long time, and, unfortunately, a temporary entrance card is not provided.

Some Important Clauses in the Contract

  • Start date in the contract must be selected at least 15 days after the posting date (to TUBITAK*).
  • If the PI of the project starts a paid job during the project period or receives support from another organization in the country or abroad, or travels abroad for more than 5 working days, he/she is obliged to notify TUBITAK. Furthermore, in case of any changes, such as those involving address, email, or telephone number, the candidate should inform TUBITAK within 10 days.
  • In case of overpayment due to non-fulfillment of the specified obligation, the overpayments are taken back together with the legal interest.
